The name is written to the file itself, in XMP and IPTC PersonInImage, so a photo handed to a reporter or filed in a different system reads the same name there. An account can hold several lists at once, which is what lets athletics, development and comms work out of the same archive without sharing a roster.
AthleteID is a branded athlete portal on your own domain, in your department’s look.
Push named galleries to each athlete on the roster. They sign in, see what is tagged of them across the season, and download files with the names already in them, so a photo shared to an NIL deal carries its credit and its caption wherever it lands.
Permissions stay yours. The athletic department controls what an athlete can see, which sports they belong to, and when access begins and ends. NIL coordinators can be added as users to run the programme centrally.

Five built-in roles, set at the folder level. Athletics runs its sport folders. Development’s donor event files stay with development. Admissions sees admissions. The comms director sees campus-wide. You set it when the folder is created and groups handle the rest.
Each action writes to an audit trail with the user, the timestamp, the resource and the result, so when a privacy or records question comes up the answer is a lookup rather than an investigation. There is no global headshot index and no cross-client data sharing, which means the only archive your data is part of is yours.

Yes. MatchID matches faces against any list of people with headshots: a team roster, a faculty directory, a donor list, a cast list. Jersey number reading is the part that is specific to sports, because helmets hide faces. Facial recognition is the core of it, and it works the same way at a gala as it does on a sideline.
One institutional bill, sized by storage. Standard starts at $20/mo for 200 GB and scales to 1.5 TB at $10 per 100 GB block; most full-institution archives land in Volume, which covers 2 TB and up from $160/mo with no cap. Unlimited users, unlimited MatchID and unlimited rosters are included at both tiers, however many departments join.
None of the three. Adding an office does not change the bill, adding the people in it does not change the bill, and identifications are not metered. Platforms that meter identification usually charge somewhere between one and three cents an image, and per-seat pricing for this kind of software commonly runs $25 to $50 per user per month, which is what makes a campus-wide rollout unaffordable elsewhere. Storage is our only line item.

GalleryID Cloud is photo management software. Compliance with your institution’s privacy policies, records rules and NCAA likeness rules stays your responsibility, and we would rather say that plainly than imply otherwise. What the architecture does is make it easier to manage and to demonstrate: five built-in roles, per-folder scoping, and an audit log that records user, timestamp, resource and result.
You own the data and GalleryID is the processor, not the owner. There is no global headshot database, no cross-client sharing, and we do not train models on your photography. Your reference libraries live in your account and benefit your institution only.
One department. Athletics or commencement is the natural pilot, because both produce a lot of photos of people you already have a list of. Prove the search works there, then add offices from it. The 14-day trial covers the pilot.
The names are written to the files, so anything you have downloaded or delivered keeps them and nothing is trapped in GalleryID. Cancelling starts a 30 day grace period where you keep full access to reactivate or export the archive. The specifics are in our terms.
