A season’s photography comes from more than one camera

Staff photographers, freelancers you hire for one game, an agency covering the conference tournament, students, coaches with a phone. The photos end up in different folders, on different drives, in different accounts, and the only person who knows where anything is happens to be the one who took it.

Metadata

GalleryID writes the athlete names and captions to the file in standard XMP and IPTC metadata. The metadata updates when the names change, on upload and on review, and the names are in the file whenever it leaves: download, send, or view. They read in Photo Mechanic, Lightroom, Capture One, GalleryID Desktop, or any program that reads metadata.

That is a deliberate choice about what you keep. A name written to the file is yours whatever you decide about us later.

Review queue

Auto-tagging fires only above the threshold. Anything the model isn’t sure about waits in a review queue for one click, so the misses live in review rather than in your deliveries. Review is part of the workflow, not a fallback: even a correct match deserves a look, because a bench or background player identified correctly may still not belong in the delivery.

GalleryID Cloud speeds up review and captioning. It does not replace the need for them, and we would rather say so here than have you find out later.

Desktop

Your photographers can use GalleryID Desktop, too

Desktop is the photographer’s application: local captioning on a Mac or PC, on deadline, with nothing uploaded. Photographers who use both can sign in to their Cloud account from Desktop, pull indexed headshots down, and send named photos up to the archive. Cloud does not require it. What is GalleryID Cloud?

GalleryID Cloud is a searchable sports photo archive for schools, teams and athletic departments. It stores your photography and lets you find it by the athletes pictured, instead of by filename, folder or the name of whoever filed it.

What is MatchID?

MatchID is GalleryID’s facial recognition, trained on sports photography rather than on ordinary photos. Consumer facial recognition learns from people looking at the camera, and action photography is the opposite: motion, turned heads, distance, helmets. MatchID reads jersey numbers as a second signal when there is no face to read. Matches below the confidence threshold you set wait in a review queue for a click. Because it was built for the hardest conditions in photography, the easier ones are covered too.

How do athlete names get added?

Two ways, and you can use either or both. The roster is where you start: CaptionID adds the name and the full caption line from it with a button press or a shortcode, and no headshots are needed. Do I need headshots?

Only for MatchID. Facial recognition needs indexed headshots to match against. CaptionID works from a roster and needs no headshots at all, so you can add names quickly without them.

Where do rosters come from?

Two ways. Upload your own roster file, or pull one from the Roster Library, which holds over 18,000 team rosters and over 470,000 athletes across NCAA Division I, Division II and Division III and ten professional leagues, plus tournament squads. Either way you tag and caption from it with a button press or a shortcode, and no headshots are involved. Rosters are held by sport and season, so the same athlete keeps the same spelling across a career.

Does it work for helmeted sports?

Yes. Facial recognition reads the visible faces and jersey number reading covers the helmets. Football, lacrosse, hockey and baseball run the same workflow. Helmets obstruct the face, and camera angles and lighting can reduce how well recognition performs, so uncertain matches wait in the review queue rather than being guessed at. For a team you have no headshots for, CaptionID tags from the roster instead.

Which sports does it cover?

Any of them. Football, basketball, baseball, softball, soccer, lacrosse, hockey, volleyball, wrestling, track and field, swimming and diving, tennis, golf, cross country, cheer and rowing are the ones departments run through it most. Nothing in the product is per sport, and nothing is priced per sport either.

Does it only work for sports?

No. Sports drove the engineering because it is the hard case, and the same archive works anywhere a group of named people gets photographed repeatedly: dance studios, school productions, music groups, conferences, corporate events, theater, faith communities, family reunions and portrait days.

Why is there a review queue?

Because names are confirmed, never guessed. A name is written one of two ways: somebody confirms it, or it clears a confidence threshold that person set. Tag from the roster and you are the first and last word on it. Let MatchID find it and anything uncertain waits for a click. Review is worth a pass even when the match is right, because being correct about who is in the frame isn’t the same as deciding who belongs in the gallery. The queue speeds up review and captioning. It doesn’t replace the need for them.

Can photos come from different photographers?

Yes, and this is what Cloud is for. Staff photographers, freelancers, agencies and other contributors can all send photos into the same archive, through upload links that need no account or admin access, through the browser, or over FTP. Once the names are on the photos they are searchable alongside everything else.

Can I search across sports and seasons?

Yes, once the photos have names on them. Search is by athlete, and you can narrow by capture date or filename, or search two athletes at once to get the frames they are both in. Sport and season come through how you name and structure your galleries, so a consistent naming convention makes that narrowing work well.

How do photos get out of GalleryID Cloud?

Share a link, with a password and an expiry date if you want one. Download as a ZIP. Push to FTP, manually or automatically. Deliver to PhotoShelter. Export through the API into whatever you already run. Galleries can be white-labelled on your own domain, and AthleteID gives athletes their own branded place to collect their photos. The names are in the files on the way out, so nothing has to be re-tagged downstream.

Are there credits, per-image fees or per-seat charges?

None of the three. Platforms that meter identification usually charge somewhere between one and three cents an image, per-seat pricing for this kind of software commonly runs $25 to $50 per user per month, and gallery platforms typically take 8 to 15% of a download sale. GalleryID Cloud charges for storage, and that is the whole bill: MatchID is unlimited on all plans, users are unlimited on all plans, and the download store runs at 0% commission, paid to your own Stripe account.

Do you use our photos or rosters to train models?

No. Your rosters, headshots and photography stay scoped to your account. We don’t share them, sell them, or train models on them. MatchID was trained on our own photographic archive before any client uploaded a frame.

Can our whole staff use it?

Yes. Unlimited users on all plans, because charging per seat punishes you for adding staff. Comms, creative, social and media relations can work from the same named archive while the season is still going, and folder permissions and groups control who sees what. Hiring a second camera for one game doesn’t change your plan.

Do I need GalleryID Desktop?

No. Cloud works on its own and the archive can be built from photos coming from any source. Desktop is a separate application for photographers who caption locally on a Mac or PC. If your photographers use both, they can sign in to Cloud from Desktop, pull indexed headshots down, and send named photos up.

Is this a DAM?

It’s a searchable sports photo archive, and for most athletic departments it does the job a digital asset management platform is bought for: one place the whole program searches, with permissions and delivery built in. It is not a full DAM, and it doesn’t match the component set of an established one like PhotoShelter. What it does that they don’t is put athlete names on the photos so the archive is searchable by person.

What happens to the names when I download a photo?

What happens to our photos and names if we cancel?

The names are already in your files, so anything you’ve downloaded or delivered keeps them and nothing is trapped in GalleryID. Cancelling starts a 30 day grace period where you keep full access to reactivate or export the archive. The specifics are in our terms.
