What does not change is the headcount pulling on the photo archive: comms, marketing, recruiting, development, social, NIL coordinators, and the freelancers who cover when staff cannot. They all need the same thing, which is the photo of one athlete, now.
Per-sport licensed platforms charge for each program you add. Per-seat platforms charge for each person who needs in. We do neither, so the bill is sized for the storage rather than for the institution.

Push named galleries to each athlete on the roster. They sign in, see what is tagged of them across the season, and download files with the names already in them, so a photo shared to an NIL deal carries its credit and its caption wherever it lands.
Permissions stay yours. The department controls what an athlete can see, which sports they belong to, and when access begins and ends. NIL coordinators can be added as users to run the programme centrally, and none of that adds to the bill.

Compliance with NCAA rules on photo distribution and athlete likeness is yours to own. The architecture is built to make that easier to hold up.

Each action writes to an audit trail with the user, the timestamp, the resource and the result, so a question asked months later has an answer. There is no global headshot index and no cross-client data sharing, which means the only archive your data is part of is yours.

It is storage-based, in two tiers, and nothing else is metered. Standard starts at $20/mo for 200 GB and scales to 1.5 TB at $10 per 100 GB block, which is the right size for a smaller program or a single-sport pilot. Volume covers 2 TB and up with no cap, starting at $160/mo, then $40 per 500 GB above 2 TB. Unlimited MatchID, unlimited users, unlimited sports and AthleteID are included at both tiers.
None of the three. Adding a sport does not change the bill, adding staff does not change the bill, and identifications are not metered. Platforms that meter identification usually charge somewhere between one and three cents an image, and per-seat pricing for this kind of software commonly runs $25 to $50 per user per month. Storage is our only line item, which is also the only number that actually grows with a season.
Yes. An account can hold several roster databases: your department’s own headshots plus conference-level imports. When a photographer covers a game between two league teams, both rosters are available to match against.
AthleteID is the dedicated athlete portal. Your department creates AthleteID accounts for the roster and pushes galleries to each athlete. Athletes sign in, see what is tagged of them across the season, comment on individual photos, and download files with the names already in them. Your athletic department branding wraps the whole experience, and AthleteID is included on all plans with no per-athlete charge.
GalleryID Cloud is photo management software. Compliance with NCAA rules around photo distribution and athlete likeness is your department’s responsibility, and we would rather say that plainly than imply otherwise. What the architecture does is make it easier to hold up: five built-in roles, folder-level permissions, per-athlete gallery scoping, and an audit log that records user, timestamp, resource and result.
You own the data and GalleryID is the processor, not the owner. There is no global headshot database, no cross-client sharing, and we do not train models on your photography. Your reference library lives in your account and benefits your department only.
The 14-day trial is there to pilot with one sport before committing, and mid-season onboarding is normal. Start with whichever sport’s calendar comes next and backfill the rest as time allows; the archive gets more useful as more of it is in there, but it does not need to be complete to be worth searching.
The names are in your files, so anything you have downloaded or delivered keeps them and nothing is trapped in GalleryID. Cancelling starts a 30 day grace period where you keep full access to reactivate or export the archive. The specifics are in our terms.
